Moderating Your Virtual Challenge Facebook Group
The quality of moderation has a more direct impact on fundraising outcomes than most challenge teams expect. Groups where participants feel noticed, responded to, and supported consistently outperform those with strong creative and weaker community management. The challenge concept matters — but the moderation is often what determines whether participants stay engaged long enough to fundraise.
Moderate as people, not as a page
Encourage your team to moderate using their individual profiles rather than the generic organisational page account, with their titles clearly indicating they’re part of the charity team. Participants respond differently to real people. Conversations feel more natural, questions come more freely, and the relationship that develops tends to extend beyond the immediate challenge.
When replying to posts and comments — aim to reply to every meaningful one — use the participant’s name, answer the question fully, and then ask something back. “That’s fantastic progress! What’s been your biggest motivation so far?” is the kind of follow-up that turns a transactional exchange into an actual conversation. It also signals to other members that this is a community worth engaging in.
Coverage and cadence
Aim for active moderation coverage from around 9am to 9pm, seven days a week, particularly during the recruitment phase and throughout the challenge month. A rota of four or five team members is enough to make this sustainable without burning anyone out — but it needs to be planned, not assumed.
Short, frequent check-ins every couple of hours during busy periods work better than less frequent longer sessions. Moderators stay more current with ongoing conversations, responses arrive before threads go cold, and the workload feels more manageable than catching up with a large backlog at once.
Handling issues: individual first, announcements sparingly
When a participant raises a concern — a t-shirt that hasn’t arrived, a delivery question, a link that isn’t working — address it directly and individually. Once an issue is resolved, turn off comments on that thread and add a brief note: “Thanks for raising this! Turning comments off here so everyone can easily see this update. Reserve group-wide announcements for genuinely widespread issues — nationwide delivery disruptions, significant changes to challenge timing — where the majority of participants are actually affected. When you do make those announcements, explain the situation clearly, state the resolution plan and timeline, and let members know that moderators will remove duplicate posts and redirect people to the main thread.
Facebook’s moderation tools
Configure keyword alerts in Admin Assist for terms like “t-shirt,” “delivery,” “scam,” “link broken,” and relevant profanity. These surface posts requiring attention quickly, which matters during busy periods when moderators can’t actively monitor every new post in real time. Review and update the keyword list after each challenge based on what proved useful.
Automated rules for off-hours are worth setting up — removing posts flagged as spam by multiple members, or temporarily disabling comments on posts that receive an unusually high volume of responses quickly. Be conservative with automation though: don’t use keyword blocking for terms like “buy” or “sell.” Scammers adapt their language quickly to bypass text filters, while legitimate participant posts get incorrectly blocked. Manual vigilance is more effective for scam management than automated prevention.
Dealing with scammers
When you identify a scammer or spammer, remove and ban immediately — no engagement, no discussion. Speed is what matters here.
The most common scam pattern in virtual challenge groups is fake merchandise posts: someone shares “Look at this great t-shirt I found, you can buy it here” with a malicious link. These are specifically targeted at the engaged, enthusiastic participants your challenge attracts. Manual vigilance catches these faster than any keyword filter will.
Equipping your moderation team
Every moderator should have access to a comprehensive FAQ document covering core challenge details, cause information with specific impact examples, standard approved answers to common technical questions, and the official group rules. Include safety guidance — reminding participants not to share specific exercise locations publicly, and disclaimers that shared advice in the group isn’t medical guidance.
Upload frequently needed resources — tracking sheets, sponsorship forms, fundraising guidance — to the group’s Files section. Moderators can link to them quickly rather than re-typing the same information repeatedly, and the information stays consistent.
Stick to clearly identified Admins and Moderators from your organisation rather than using unofficial “group champions” for moderation tasks. When participants have a question or a problem, they need to know who has the authority to give them an official answer. Ambiguity about that undermines confidence in the community.
