How do charities keep fundraisers motivated and engaged during a campaign?
The biggest drop in fundraiser engagement typically comes in the middle of a campaign – after the initial excitement of signing up and before the final push. Effective stewardship during this period is personal, timely, and specific to where each supporter is in their journey. Automated email journeys help here: rather than sending the same message to everyone at the same time, they trigger communications based on individual milestones, dates, and fundraising progress. A fundraiser who has raised 50% of their target gets a different message to one who hasn’t started yet – and the right message at the right time keeps more supporters fundraising to the end.
What’s the best way to automate stewardship emails for charity fundraisers?
Stewardship automation works best when it’s triggered by real supporter behaviour rather than a fixed schedule. Setting up email journeys based on triggers like registration date, campaign milestones, and amount raised means every supporter gets a relevant, well-timed message without your team manually tracking who needs to hear from you and when. Key things to get right: use personalisation (supporter name, fundraising platform, amount raised) so automated emails don’t feel generic; set up milestone messages so fundraisers are recognised when they hit targets; and use a verified domain so emails come from your organisation, not a generic platform address.
How do you send personalised emails to large numbers of fundraisers?
Personalisation at scale comes down to using the right data at the right moment. Merge tags – pulling in each supporter’s name, fundraising platform, page URL, and amount raised – make every email feel individual even when it’s going to thousands of people. What matters most is trigger logic: an email that arrives the day after someone creates a fundraising page, or the morning of their event, feels personal because the timing is right. GivePanel’s email journeys combine merge tags, time-based triggers, and condition-based filtering so the right message reaches the right person at the right moment.
How do automated email journeys work?
GivePanel’s email journeys let you set up a sequence of emails that send automatically based on each supporter’s activity and progress – without manual intervention. You configure each email with a trigger (when to send) and an optional condition (who to send it to), and GivePanel handles the rest. Journeys are available across GivePanel Events, DIY, and Virtual Challenge campaigns.
How does GivePanel ensure emails reach supporters at the right time?
GivePanel sends emails in optimised batches throughout the day — between 9am and 2pm BST for UK and Rest of World accounts, and 11am and 4pm BST for US accounts. This keeps your messages landing in inboxes during peak engagement hours rather than in the middle of the night. If your trigger fires outside of that window, GivePanel holds the send until the next available slot so delivery timing is always considered. If you need a custom sending schedule, the support team can help.
What are triggers and conditions — and how do they differ?
A trigger determines when an email sends. Available triggers include: a set number of days after registration, before or after a campaign start or end date, and when a supporter reaches a specific fundraising amount. A condition is an optional filter applied on top of the trigger – for example, only send to supporters who are matched to a JustGiving fundraiser, or who have raised less than a certain amount. Each email in a journey can have one trigger and one condition.
What personalisation can I include in emails?
GivePanel emails support merge tags for first name, last name, email address, event title, campaign ID, fundraising page URL, unclaimed page URL (for JustGiving), registration form URL, Facebook group URL, and public campaign name. Merge tags are only available for matched registrations in some cases – for example, the fundraising page URL merge tag requires a supporter to have a matched fundraiser.
What’s the difference between personal and branded emails?
Personal emails are plain text – no images, buttons, or branding. They’re designed to feel like a direct message from a person, which suits stewardship moments where warmth matters more than polish. Branded emails include images, call-to-action buttons, logo placement, link colours, and banner options. Both types are available within email journeys.
Can I send from my own email address?
Yes. GivePanel sends stewardship emails from a verified domain of your choice, so supporters see your organisation’s name and address – not a GivePanel address. Your domain needs to be verified with GivePanel before you can use it. Contact the support team if you’re unsure whether your domain is set up.
What are lead-specific email journeys?
Lead email journeys are a separate journey type designed for people who’ve submitted a Facebook lead ad form but haven’t yet registered for your campaign. They work differently from standard supporter journeys – emails can trigger immediately after lead form submission and use time-based triggers tied to campaign dates. Setting them up requires your GivePanel account to be connected to the Meta Leads Webhook, and your Facebook lead forms must use Facebook’s default field names (e.g. the email field must be named ’email’, not customised to something else).
Can I filter supporters into different segments for targeted messaging?
Yes. GivePanel lets you create saved segments based on criteria including fundraising platform, matched status, JustGiving claim status, amount raised, and more. You can use these segments to target specific groups with the right message, and export segment data as a CSV for additional analysis outside GivePanel.
Do email journey features differ between campaign types?
Yes, there are some differences. DIY campaigns support the most advanced trigger options – including personal event start and end dates, JustGiving event type (e.g. running, gaming, weddings), and percentage of target raised. Virtual Events support a similar structure but some DIY-specific triggers may not be available. GivePanel Events has a slightly different navigation path to access email journeys (via the event’s Emails tab rather than the main Messaging section). If you’re unsure what’s available for your campaign type, the help centre has product-specific guidance.
